At PEP Holistic Psychiatry & Wellness, we are committed to providing transparent, patient-centered care. Below, you’ll find information about our fees, payment requirements, insurance reimbursement, and appointment policies. If you have any questions, please contact our office for assistance.
Office & Diagnostic Fees
Payment for services is due at the time of your appointment. For information about our current rates, diagnostic testing fees, or other charges, please contact our office directly. We’ll be happy to provide the information you need.
Payment Methods
We accept the following forms of payment, either on the day of a scheduled appointment or when pre-payment for services is arranged in advance:
- Major Credit Cards
- Cash and Checks
- Health Savings Accounts (HSA)
- Flexible Spending Accounts (FSA)
Credit Card on File Requirement
Effective August 1, 2026, all patients must maintain a valid credit card on file to retain their scheduled appointments. Your card will be charged on the day of your scheduled visit.
If your card is declined, our office will contact you, and your appointment may need to be rescheduled.
You may securely provide your payment information by:
- Calling our office at 717-303-0505
- Completing the payment form through your patient portal at https://www.therapyportal.com/p/pepholistic/
You may update your card on file at any time by contacting our office.
Cancellations & Missed Appointments
We understand that life can be unpredictable. If you need to cancel or reschedule an appointment, we kindly ask you to provide a minimum of 24 hours’ notice.
Cancellations made less than 24 hours before the scheduled appointment and missed appointments without notice are not eligible for a refund. Your card on file will be charged for the scheduled visit.
This policy helps us respect our clinicians’ time and preserve appointment availability for other patients who need care.
Additional Appointment Time and Fees
Appointment fees cover the time allotted for your scheduled visit. Most appointments are completed within that time. Occasionally, however, addressing a concern thoroughly or determining the appropriate next steps may require additional time.
If the doctor believes more time would be beneficial, she will let you know before proceeding beyond the scheduled appointment time. You may choose to continue the appointment or pause the discussion and resume it at your next scheduled visit.
If you choose to continue beyond the allotted time, the additional time will be billed separately and is not included in the regular appointment fee. This policy allows you to remain informed about potential charges while giving you the power to decide how to proceed.
Insurance & Reimbursement
While we do not bill insurance companies directly, we are happy to provide detailed statements that you can submit to your insurer for possible reimbursement*. This approach allows us to:
- Provide unrestricted, personalized care without the limitations imposed by insurance companies.
- Focus on delivering the highest quality of care without the administrative burdens that insurers often require.
By not working directly with insurers, we ensure that your treatment is guided solely by your needs and goals—not by insurance policies.
*Reimbursement is not guaranteed and depends upon your individual insurance coverage. We encourage you to contact your insurer directly with questions about out-of-network benefits.
